Privacy and responsible campaign data use
WardWalk helps campaign teams manage field information with clearer access controls, practical reminders, and structured workflows for voter-list data, resident notes, campaign documents, exports, and volunteer access.
This page is for general information only. It is not legal advice.
Campaign data needs careful handling
WardWalk may contain campaign information, voter-list data, resident details, canvassing notes, contact consent records, exported CSV files, campaign documents, and internal guidance. Campaign teams should only use this information for authorized campaign or electoral purposes.
Use only authorized voter-list, resident, and campaign information. Campaign teams are responsible for following applicable election, privacy, retention, deletion, and data-handling requirements.
How WardWalk supports responsible use
Role-based access
WardWalk uses campaign roles to help control what users can see and do. Volunteers, campaign leadership, and admins can only access the information appropriate to their role.
Compliance acknowledgement
Users can be required to read and accept a compliance statement before accessing the app. This helps remind campaign teams that voter-list, resident, and campaign information must be handled carefully.
Authorized voter-list import
Voter-list import should only be used when the campaign has authority to access and use the data. Admins should confirm authorization before importing voter-list files.
Controlled campaign documents
Campaign documents, scripts, FAQs, policies, and internal guidance can be managed by role so volunteers only see materials intended for their access level.
Campaign Knowledge Assistant visibility
The Campaign Knowledge Assistant will provide answers from approved campaign materials available.
Export reminders
CSV exports can contain sensitive campaign or resident information. Campaign teams should follow their own rules for storing, sharing, returning, deleting, or destroying exported files.

Voter-list and resident information
WardWalk is designed to support authorized campaign use of voter-list and resident information. When voter-list data is imported, campaign teams should confirm that they have authority to use the data, that users understand the campaign’s handling rules, and that exports are managed carefully.
Do:
Do not:
- Import only authorized voter-list files.
- Limit access to users who need it.
- Review field mapping before import.
- Use exports only for campaign purposes.
- Delete, return, or retain data according to campaign instructions.
- Upload unauthorized voter-list data.
- Share exported files casually.
- Send voter-list files through unsecured support channels.
- Use resident information for personal, commercial, or unrelated purposes.
Phone and email consent
Campaign users can only collect phone numbers and/or email addresses, when the resident clearly provides consent. If the resident does not clearly provide consent, the consent box should not be checked and the information can not be included.

Responsible use of the Campaign Knowledge Assistant
The Campaign Knowledge Assistant is intended to help users find answers from approved campaign materials. It should not be used to enter unnecessary personal information, create unauthorized policy positions, replace campaign leadership, or provide legal advice.
- Upload accurate and approved campaign materials.
- Keep public-facing and internal guidance separated.
- Do not upload unnecessary personal information.
- Forward any uncertain questions to campaign leadership.
Privacy when getting support
When reporting an issue, users should describe the problem without sending sensitive voter-list data, resident notes, exported CSV files, or private campaign materials unless WardWalk gives specific instructions for secure handling.

For privacy or compliance concerns, use the Contact Us form with the subject line: “Privacy/compliance concern.”
Important note
WardWalk provides software tools and practical reminders for campaign operations. WardWalk does not provide legal advice, does not guarantee compliance, and does not determine whether a campaign is authorized to use specific voter-list, resident, or campaign information. Campaign teams are responsible for following applicable laws, election rules, privacy obligations, retention rules, deletion requirements, and campaign instructions.
